The TycoonX Special Sourcing Desk

A structured sourcing service for consultants, contractors, developers, and procurement teams with hard-to-find specifications, approved-equivalent searches, and non-standard project requirements across outdoor, urban, landscape, hospitality, infrastructure, and architectural product categories in Saudi Arabia. Acknowledgment within two business days; a response within four to five business days with one of three outcomes.

The TycoonX Special Sourcing Desk is a named capability inside the TycoonX project supply platform and the structured route for hard-to-find, off-catalogue, approved-equivalent, specification-gap, non-standard, multi-division, product-adaptation, and urgent post-award requirements. It runs a defined three-step process: intake through the Contact route, acknowledgment within two business days with a case officer assigned within two business days, and a response within four to five business days with one of three outcomes: a sourced product, a fabrication, engineering, or product-adaptation proposal, or a practical alternative recommendation.

When to use the Desk

The Special Sourcing Desk is the right route when a Saudi project requirement falls into one or more of these cases.

  • Hard-to-find or off-catalogue products that do not match a standard product family on a division page.
  • Approved-equivalent and or-equal searches where the specification permits substitution and the alternative must carry the right documentation.
  • Specification gaps at an early stage, where supplier-side input is needed on what is realistically deliverable.
  • Non-standard sizes, finishes, materials, or configurations.
  • Multi-division packages that touch more than one division on a single project.
  • Product-adaptation or fabrication-led requirements where no off-the-shelf product fits.
  • Urgent post-award sourcing where a supply route has been lost or a substitute is needed under live project pressure.
  • International manufacturer or supplier route evaluation where it is relevant to a Saudi project requirement.

When a requirement clearly fits a single standard division as a standard product, the relevant division page and a direct contact are usually the faster route. The Desk is for the requests that do not fit cleanly there.

What to submit

A short scope summary is enough to open a case. The more of the detail below you include, the sharper and faster the response.

Use the list below as a practical checklist. A case can start with partial information; complete inputs make the first response sharper.

  • 01Project name and project typeThe development, package, or project environment the item belongs to.
  • 02LocationCity, site, or delivery destination inside Saudi Arabia.
  • 03Requester roleDeveloper, consultant, contractor, procurement team, or supplier.
  • 04Specification, BOQ excerpt, or drawingsAttach the available technical reference where possible.
  • 05Product description and quantityWhat is required, how many units, and how the item will be used.
  • 06Material, finish, and dimensionsAny known material, size, colour, finish, or performance requirement.
  • 07Standards, certificates, or testsRequired compliance evidence, datasheets, test reports, or certificates.
  • 08Target delivery dateThe programme date or procurement deadline the response should consider.
  • 09Installation or supervision requirementWhether the request includes installation, supervision, commissioning, or supply only.
  • 10Approved-equivalent acceptabilityWhether an or-equal route is acceptable under the specification.
  • 11Target budget, if availableBudget guidance helps filter unsuitable routes early.

Submit a case through the Contact route.

The three-step process

Intake, acknowledgment with case officer assignment, and response. Each step has a published standard.

STEP · 01

Intake

Send the specification, project name, target delivery, and any budget through the Contact intake route. A short scope summary is enough to start.

STEP · 02

Acknowledgment & case officer

Acknowledgment within two business days, with a case officer assigned within two business days to own the request.

STEP · 03

Response

A response within four to five business days with one of three outcomes: a sourced product, a fabrication, engineering, or product-adaptation proposal, or a practical alternative recommendation.

How the Desk evaluates a request

A case officer evaluates each intake against a consistent set of criteria and routes it to the strongest outcome.

  • Division fit — which of the nine divisions the requirement belongs to, or whether it spans several.
  • Supplier and manufacturer fit — which qualified manufacturer or supplier routes can match the specification.
  • Documentation fit — the datasheets, certificates, test reports, and comparison evidence the project record will need.
  • Fabrication and product-adaptation fit — whether a fabrication, engineering, or adaptation route is the right path.
  • Saudi project suitability — climate, compliance, and project-context suitability for Saudi work.
  • Lead time and logistics — sourcing route, lead time, and delivery practicality against the programme.
  • Installation or supervision scope — where installation or supervision is included in the request.

Requests are evaluated against TycoonX's outdoor, urban, landscape, hospitality, infrastructure, and architectural project-supply universe. When another route is stronger, the response identifies the practical alternative.

Three response outcomes

Every case resolves into one of three outcomes, chosen by the case officer against the evaluation criteria.

OUTCOME · A

Sourced product

A specification-matched product identified and sourced, with price, lead time, and the documentation the project record needs.

OUTCOME · B

Fabrication, engineering, or product adaptation

Where no off-the-shelf product fits, a fabrication, engineering, or product-adaptation proposal structured through qualified fabrication routes and the partner network.

OUTCOME · C

Alternative recommendation

Where another route is stronger, a practical alternative the project team can act on: an equivalent product family, a different supply route, or a referral to a more suitable party.

Sourced product route

A specification-matched product is identified and sourced through a qualified manufacturer or supplier route, and returned with price, lead time, and the documentation the project record needs. Supply then runs through the relevant division's standard discipline: sample submittals, certificates and origin documentation, and coordination with the consultant and contractor on the project.

Fabrication, engineering, or product-adaptation route

Where no off-the-shelf product fits, the case officer structures a fabrication, engineering, or product-adaptation proposal through qualified fabrication routes and the partner network: scope review, material and finish selection, samples and mock-ups, shop drawings, and delivery support. Fabrication scope is confirmed project by project.

Alternative recommendation route

Where another route is stronger, the response sets out a practical alternative the project team can act on: an equivalent product family, a different supply route, a clearer requirement structure that keeps the project objective intact, or a referral to a more suitable specialist party. The alternative recommendation keeps the project moving rather than ending at the original request.

How the Desk connects to the nine divisions

The Desk routes each requirement into the relevant division, or across several where a package spans more than one. The typical Desk reason for each division:

  1. D1 — Urban Furniture & Streetscape — non-standard sizes, finishes, and streetscape configurations.
  2. D2 — Play & Active Outdoor — inclusive-play, code-required, or specification-driven equipment.
  3. D3 — Landscape & Ground Systems — edging variants, tree anchors and grates, and ground-infrastructure specifications.
  4. D4 — Shade & Outdoor Structures — tensile designs, smart-pergola configurations, and cooling-integrated shade.
  5. D5 — Drainage & Water Management — grates, covers, and channels that complete plaza, landscape, and flooring packages.
  6. D6 — Outdoor Living & Hospitality — outdoor kitchens, fire and BBQ systems, and hospitality-grade durability.
  7. D7 — Architectural Cable & Net Systems — cable, tension, and architectural-mesh engineering coordination.
  8. D8 — Outdoor Flooring & Surfacing — EPDM, WPC, raised-pedestal decks, and athletic surfacing.
  9. D9 — Façade & Architectural Cladding — non-standard panels, equivalent matching, and fabrication-led façade elements.

A multi-division package is handled through a single intake: the case officer routes the relevant scope into each division and coordinates a single unified response, within the same four-to-five-business-day window where feasible.

How the Desk connects to Source, Supply, Fabricate, Install

The platform's operating chain is applied scope by scope. The Special Sourcing Desk is the Source step: the structured surface where intakes are received, evaluated, and routed.

  • Source. The Desk receives, evaluates, and routes the requirement, sourcing across China, Europe, North America, the GCC, and selected international markets through the partner network where a manufacturer-finished product is what the specification calls for.
  • Supply. On the sourced-product route, supply runs through the relevant division's standard discipline: supplier documentation, sample submittals, origin documentation, and project coordination.
  • Fabricate. On the fabrication route, the proposal is structured through qualified fabrication routes and the partner network, with product adaptation where the specification needs it.
  • Install. Installation or installation supervision is included where the project scope makes it part of the request.

The response identifies which parts of Source, Supply, Fabricate, and Install apply to the submitted requirement. See the six-capability operating model on Capabilities.

FAQ

Frequently asked questions

  • What is the TycoonX Special Sourcing Desk?

It is a named capability inside the TycoonX project supply platform and the structured route for specified products and requirements that fall outside the standard division set: hard-to-find and off-catalogue items, approved-equivalent searches, specification gaps, non-standard sizes, finishes and configurations, multi-division packages, product-adaptation or fabrication-led requirements, and urgent post-award sourcing. It runs a defined three-step process and returns one of three outcomes.

  • When should a Saudi project team use the Special Sourcing Desk?

When the requirement is hard to find, off-catalogue, an approved-equivalent or or-equal search, a specification gap, a non-standard size, finish, material, or configuration, a multi-division package, a product-adaptation or fabrication-led need, or an urgent post-award sourcing problem. When a requirement clearly fits a single standard division as a standard product, the relevant division page and a direct contact are usually the faster route.

  • What information should be submitted for a sourcing case?

Project name, location, and requester role; the specification, BOQ excerpt, or drawings; a product description with quantity; material, finish, and dimensions; required standards, certificates, or tests; the target delivery date; the installation or supervision requirement; whether an approved equivalent is acceptable; and a target budget if available. A short scope summary is enough to open the case; the detail sharpens the response.

  • What is the Special Sourcing Desk response standard?

Acknowledgment within two business days, a case officer assigned within two business days, and a response within four to five business days carrying one of three outcomes. The same standard applies to every intake, including urgent ones.

  • What outcomes can the Special Sourcing Desk provide?

One of three: a sourced product, with price, lead time, and documentation against the submitted specification; a fabrication, engineering, or product-adaptation proposal through qualified fabrication routes and the partner network; or a practical alternative recommendation, such as an equivalent product family, a different supply route, or a referral to a more suitable party. Requests are evaluated against TycoonX’s outdoor, urban, landscape, hospitality, infrastructure, and architectural project-supply universe, and when another route is stronger the response identifies the practical alternative.

  • How does the Desk handle approved-equivalent and or-equal requests?

Equivalent-product searches are one of the Desk’s primary use cases. Submit the original specification, the or-equal clause, the documentation the equivalent must carry, and any constraints on equivalence. The response identifies whether the equivalent can be matched against partner-network products, met through a fabrication or product-adaptation route, or best served by a practical alternative, and prepares responsive documentation for the project’s own review and approval workflow.

  • How does the Desk connect to the nine TycoonX divisions?

Each requirement is routed into the relevant division, and multi-division packages are handled through a single intake with the relevant scope routed into each division and coordinated into one response. The nine divisions cover urban furniture and streetscape, play and active outdoor, landscape and ground systems, shade and outdoor structures, drainage and water management, outdoor living and hospitality, architectural cable and net systems, outdoor flooring and surfacing, and facade and architectural cladding.

  • How does the Desk connect to fabrication and product adaptation?

Where no off-the-shelf product fits, the Desk structures a fabrication, engineering, or product-adaptation proposal through qualified fabrication routes and the partner network: scope review, material and finish selection, samples and mock-ups, shop drawings, and delivery support. Fabrication scope is confirmed project by project.

  • How does the Desk support documentation and approvals?

Responses carry the documentation a Saudi project record needs: datasheets, certificates, test reports, warranties, and technical comparison sheets for equivalent decisions. TycoonX prepares responsive submittals for the project’s own review and approval workflow; the approval decision rests with the consultant and project owner.

  • How does pricing and lead time work in a response?

Early responses may carry indicative pricing and lead times; final commercial figures follow manufacturer or fabricator confirmation. The response identifies which parts of Source, Supply, Fabricate, and Install apply to the submitted requirement.
